4. Expanded Feature Catalog (What RCIC Firms Need or Ask For)
These are features RCIC firms need or ask for, drawn from the Code of Professional Conduct, rival feature pages and the general practice-management pattern. Each is classified with the same honesty as the original list. Being in demand doesn't mean you should build it. Most of these are already offered by someone.
Legend: TS = Table stakes, D = Differentiator, X = Distraction, L = Liability. Priority: P0 = v1, P1 = next, P2 = later, — = don't build.
Demand signal note: owner forums (Reddit, Facebook groups, association boards) were not searched in this run, because the shared search budget ran out. Demand signals below come from the rules and rival feature lists. The day-45 calls in 08 are where you confirm them.
4.1 Compliance and file control (the wedge, so lean in)
| Feature | Rule or signal | Category | Priority | Notes |
|---|---|---|---|---|
| Service-agreement builder with every section-24 element, e-signature, signed before work starts | Code s.24 | D (RCIC App claims "CICC-aligned" templates, so it's contested) | P0 | Win by checking completeness: block sending if an element is missing. Your RCIC partner reviews the template. |
| Client-account (trust) ledger per client: deposits, receipts, invoices, withdrawals, flag at 30 days after invoicing | Code s.32 | D | P0 | Record only. The money sits in the firm's College-approved account. Whether rivals enforce the 30-day rule is unverified; check in the first 5 demos. |
| Status-update log with one-click templates, dated and saved to the file | Code s.22(3) | D | P0 | The defence against the most common complaint: "they never told me anything". |
| File closure and transfer workflow: return documents within 30 days, transfer to a new representative within 10 business days | Code s.36 | D | P0 | A clock and a closing letter. Cheap to build, rarely done well. |
| Complete file export (agreement, ledger, updates, documents, submissions) as one PDF bundle plus a zip | Complaints and reviews | D | P0 | The "ready by Friday" button. It's also your best demo moment. |
| Invoice builder with the section-33 rules (after services, full description, receipts that name the invoice) | Code s.33 | TS / D | P1 | Invoices are table stakes. The rule checks are the edge. |
| Concurrent-representative check at intake | Code s.24(2)(c) | D | P1 | One question and a note in the file. |
| Staff-supervision log (who did what on which file, who reviewed it) | Code s.38 | D | P1 | Falls out of a good audit trail. |
| Record-retention settings | Retention periods are set in by-laws, not verified | TS | P1 | Build the setting. Fill in the period once your RCIC partner confirms it. |
| CPD hours tracker for the licensee | Assumed licensing requirement (not verified) | X | P2 | Low frequency. A free tool for SEO at most. |
4.2 Daily case work
| Feature | Category | Priority | Notes |
|---|---|---|---|
| Per-program document checklists (spousal sponsorship, Express Entry, study permit first; then work permits, PGWP, visitor, citizenship) | TS / D | P0 | The daily habit. Checklists change with IRCC rules, so your RCIC partner owns updates. |
| Client portal for uploads, with "what's missing" | TS | P0 | VisaFlo and RCIC App have one. Absence loses the sale. |
| Deadline tracker (document requests, procedural-fairness letters, permit expiry dates) | TS | P0 | RCIC App markets a "Deadline Command Centre". Expected. |
| Multilingual intake questionnaires | TS / D | P1 | VisaFlo offers 13 languages. Start with English, then add the 2–3 your pilots ask for. |
| AI document sorting and missing-page checks, with a human check | D | P1 | Capped per file. Never an eligibility judgment. |
| IMM form autofill / IRCC portal helper | TS for some firms / X for you | P2 | VisaFlo and Officio do it. Only build it if pilots rank it top 3, after $5k MRR. |
| GCKey or IRCC credential vault | L | — | Holding clients' government logins is a breach risk and likely against IRCC terms (not verified). |
| AI eligibility score / CRS "approval chance" | L | — | A wrong answer is a complaint against the licensee. Free CRS calculators already exist. |
| AI-written submission letters | L | — | Quality and liability risk. Offer templates your RCIC partner wrote instead. |
4.3 Money and admin
| Feature | Category | Priority | Notes |
|---|---|---|---|
| Payment links through the firm's own Stripe or bank | TS | P1 | Money goes to the firm's account. Never yours. |
| QuickBooks or Xero export | TS | P1 | CSV first, integration later. |
| Revenue and file reports per licensee | TS | P2 | Firms ask for it. Nobody switches for it. |
| Holding client funds or escrow | L | — | Section 32 requires a College-approved institution. |
4.4 Growth and leads
| Feature | Category | Priority | Notes |
|---|---|---|---|
| Webhook for leads from the website, HubSpot or GoHighLevel | TS | P1 | Integrate, don't compete. |
| Booking for paid consultations | TS | P1 | RCIC App has it. A calendar link is enough for v1. |
| Email and SMS campaigns, landing pages, ads | X | — | GoHighLevel and HubSpot territory. |
| WhatsApp messaging from the file | D / L | P2 | Clients live on WhatsApp, but status updates must be written and saved. Log it, or skip it. |
| Overseas sub-agent and recruiter portals | L | — | Unlicensed agents are what the College polices. Don't make it easier. |
4.5 Trust and platform
| Feature | Category | Priority | Notes |
|---|---|---|---|
| Canadian data hosting, encryption, two-factor login, audit log | TS | P0 | VisaFlo advertises Canadian hosting. Absence loses the sale. |
| Roles for licensees and assistants | TS | P0 | Needed for supervision and the audit trail. |
| French interface and templates | TS for Quebec | P2 | 6% of licensees work mainly in French. Add after the English product holds. |
| Migration service (Officio, Clio, Drive, spreadsheets) | D | P0 | The single biggest reason a firm will switch. Charge for very large archives. |
| Native iOS and Android apps | X | — | Not before $10k MRR. |
4.6 Net effect
Of about 40 features, about 12 are real differentiators, and 9 belong in v1. Almost all the differentiators come from the Code, which is the point: the rules are the product. Everything else is table stakes you'll add slowly, or other companies' products you should connect to.
